In this guide, we will show you, how to share candidates and their CVs in Recruit. There are three ways to do this. The first one being sharing as a pdf, the second one sharing as an Excel file, and lastly, the third option, sharing a link with others. There is also a fourth option; the candidate presentation. This option has a lot more features, which you can read more about here. In this article, we will focus on the following:
Share as a PDF
With this option, it is possible to generate a PDF with one or more candidate(s). You choose the candidates and the information you want include in the file.
Follow these steps to share CV's as PDF:
- Check the candidates you wish to share by checking the box to the left of their name in candidate overview. You can easily choose all of them by clicking on this icon at the top of the candidate list: Afterwards, click on Check all.
- Once you've chosen one or more candidates, you'll activate the blue menu at bottom of the page.. See the picture below. Click on the menu and choose Generate PDF.
- Afterwards, you will be able to choose which information you would like include.
- Finish by clicking on Download PDF
- It is also possible to click on Send PDF as e-mail. This allows you to directly send the PDF from HR-ON Recruit. You have to the recipient's e-mail in the recipient field. If you want to add more than one recipient, you can separate the e-mail addresses by comma (no spacing) like this: test@hr-on.com,test2@hr-on.com,test3@hr-on.com
- Add a subject and write the e-mail. Conclude by clicking on Send
- The PDF will be attached to e-mail in the recipient's inbox.
Share as an Excel file
Besides sending a PDF from your HR-ON Recruit account, it is also possible to generate an Excel file. This how to do it:
- Check all the candidates you want to include in the file by checking off the box to the left. You can easily choose all at once by clickingth is icon: at the top left of the list over candidates. Afterwards, click on Check all.
- Once you have checked one or more candidates the blue menu at bottom of the page will be activated. See picture below number 2 in the paragraph about sharing as a PDF. Click on the menu followed by Generate Excel.
- Next, you can choose which information to include in the file. Click on Ok.
- The file will download automatically to your computer.
Share through a link
Lastly, it is also possible to share a candidate's CV and other information through a link. This is done by the function Share CV. It will generate a link that leads directly to the candidate's profile in HR-ON Recruit. The link can only be accessed by Recruit users and requires the recipient to login.
If you choose more than one candidate, there will be generated an individual link for each candidate.
Follow these steps to share through a link:
- Check all the candidates you want to include in the file by checking off the box to the left. You can easily choose all at once by clickingth is icon: at the top left of the list over candidates. Afterwards, click on Check all.
- Once you have checked one or more candidates the blue menu at bottom of the page will be activated. See picture below number 2 in the paragraph about sharing as a PDF. Click on the menu and choose Share CV.
- Now add the colleague(s) you would like to share CVs with. Write the e-mail and remember to include a subject. It is possible to use placeholders like you know from the mail templates. Finish by clicking on Send.
In this guide, we have taken a look at the different ways of sharing CVs in HR-ON Recruit. You can generate a PDF or an Excel file. Additionally, you can share a link directly from the system. In the next guide, we will take a look at how request a digital signature for a document.
